Students
The manager can invite students and instructors directly from the portal.
To invite students:
1. Open the manager portal.
2. Go to "Students".
3. Click "Invite".
4. Enter the student's details.
To invite instructors:
1. Open "Academy".
2. Go to "Instructors".
3. Use the "Invite" option.
The invitee gets a link to create their login and download the app.
The 🎂 comes from the date of birth on the student's record. Add the date of birth under Students and they'll appear in the calendar, on the attendance screen and in the "Today's birthdays" block.
They can. In the app, the instructor opens Profile and taps "Declare promotion" on the belt card; in the portal, under Account settings → Promotion. They enter the belt, the stripe and the date — and the declaration becomes a pending item that ONLY the manager can confirm (under Requests, in the "Instructor promotions" section). On confirmation, the instructor's belt and stripe are updated on their record. The manager can also edit an instructor's belt/stripe directly under Classes → Instructors. Anyone who is both a student and an instructor declares from the student side — the instructor profile's belt follows along.
Billing
Platform billing is separate from student billing.
The platform charges the academy for its plan, usually on a monthly cycle.
Each academy, in turn, charges its own students their tuition, using its own plans, prices and internal rules.
In other words:
- Platform -> charges the academy.
- Academy -> charges its students.
The two charges are independent.
Yes. The academy can collect students' tuition through the app.
To turn it on:
1. In the web portal menu, find the "System" section (in the app, tap "More" and scroll down to "Platform").
2. Go to "Payouts".
3. Complete the account verification.
4. Set up the details needed to receive payments.
Once it's on, students can pay their tuition straight from the app.
Only if the academy wants it. By default, no: with overdue tuition, the student keeps normal access to the app and to classes.
Under Finance → Billing, the academy can turn on the overdue check-in block. With it on, anyone past the configured tolerance has check-in locked — in the app, at the kiosk and on the instructor's roll — until they settle up or the manager unlocks it. The rest of the app stays open, including for paying.
As soon as you link the student to a plan, the first tuition charge is created as open and stays visible to you and to the student until its due date. The following invoices are created automatically on the 1st of the month they fall due (a little earlier when the due date falls in the first days of the month, so there's time for the reminder) and always fall due on the student's billing day. If you're migrating a student who already paid this period by other means, tick "First charge only on the next cycle" when linking the plan — that way the first invoice already covers the following cycle, not the one they've paid. If "Tuition management" is switched off (under Finance → Billing), or the student has no plan or is exempt, no tuition is generated. The student's reminder goes out near the due date — you set how early on the reminder ladder, under Billing.
Two fees apply to every tuition payment made through the app: the Asaas fee for processing the payment (which varies depending on whether the student pays by PIX, bank slip or card), and the platform fee set by your plan. Once your payout account is approved, the "Fees and how much you receive" block at the bottom of the Payouts screen (on the web portal, under System → Payouts; in the app, under More → Platform → Payouts) shows both and works out what's left for the academy under each payment method. Withdrawing your balance to your bank also carries a fee, though the first transfers of the month are usually free.
Yes. A few days before the due date the platform sends the manager an invoice reminder (e-mail and in-app notification), and the academy sends the student a tuition reminder (in-app bell and e-mail, plus push if the "Billing and tuition" category is on under Communication → Notifications). If the date passes, the overdue notices go out automatically. On the reminder ladder, under Finance → Billing, you choose when the student's reminder and overdue notices go out; those for the platform invoice follow the platform's own ladder.
Under Finance → Tuition (or on the student's record, Tuition section) tap "Pay tuition in advance", choose how many periods and check the preview with the due dates and the total. On confirmation the system issues those future charges ALREADY marked as paid (received in cash) and moves the cycle forward — so they're never charged again. Advance payment covers only the periods ahead: the current month's open tuition is still settled separately with "Mark as paid". Recorded it by mistake? Use "Reverse advance" on the most recent invoice under Issued tuition — it's cancelled and the cycle steps back one period.
General
Yes.
Students and instructors use the app to keep up with the academy's day-to-day.
In the app, you can access features such as:
- Class check-in.
- Academy notices.
- Belt promotions.
- Tuition.
- Events and important information.
Managers can also keep track of the academy's information in the app.
Classes
It depends on the class type, chosen by the manager or instructor when the class is created. In "by sign-up" classes the student signs up once and then appears in every recurring occurrence — entry can be automatic or require approval (in which case it becomes a request the academy approves under Requests). In "by check-in" classes the student checks in on a specific date to secure their spot, within the configured window (how many days ahead it opens, when it closes and until when it can be cancelled); if there's a capacity limit, once it's full they join the waiting list and move up if someone cancels.
No. Checking in to a "by check-in" class only holds your spot for that date — it doesn't record attendance. Attendance is still taken by the instructor on the roll, or recognised from the training photo, and that's what counts towards your attendance rate, streak and ranking.
In the calendar (portal) or in the timetable/Attendance screen (app), open the day or the class and use Notes / alerts. Pick "Shared" for the instructor to read it in the calendar and while taking attendance, or "Only me" for a private note. The note doesn't trigger a notification — it simply shows up in the calendar and on the attendance screen.
You can. In the portal, managers open "Calendar" in the Tools menu, and students and instructors go to Settings; in the app, managers tap "Calendar on your phone" on the home screen, under "Tools", and students and instructors find it in Profile. There you generate a subscription link and add it to iPhone, Google Calendar or Outlook. It carries the academy's events and your tuition due dates — and, for managers and instructors, students' birthdays and calendar notes as well. Timetabled classes are left out on purpose: they stay in the app, so your personal calendar isn't flooded by the weekly recurrence.
No. It's your phone that decides how often to fetch updates: iPhone tends to refresh every few hours and Google Calendar can take considerably longer. The subscription is read-only — changes made in your phone's calendar don't come back into the system. If you need the data right now, look in the app. And remember: the link is a secret — anyone with the URL can see the schedule without a password. If it leaks, generate a new one and the old one stops working immediately.
Communication
Check under Communication → Notifications whether the "Billing and tuition" category is on under "In-app notifications (push)" (in the app: More → Communication → Notifications). Categories ship switched off — each academy turns on what it wants to send. Even when it's off, the notice still appears in the app's bell and the e-mail still goes out: push is the only channel affected. Bear in mind too that no push is sent between 23:30 and 08:00, and that the student must have opened the app and allowed notifications on their phone.
Contracts
It's a contract that formalises the provision of services. There are two: the platform's agreement with the academy (when your plan requires it) and the academy's agreement with the student (when the academy enables it). Acceptance is electronic, signed with an initial on screen, and produces a PDF receipt.
In the portal, under Settings → Contract, switch on "Require a contract from students" and edit the text (there are variables such as {{studentName}} and {{planName}}). On save a new version is published and students sign on their next visit. The feature depends on your plan.
After signing in, the app shows the contract and asks for a signature (an initial on screen). On acceptance the PDF receipt is e-mailed to the student, and they can look the contract up at any time under Contracts (the More / Profile menu).
Only if your plan requires it. In that case you sign the platform agreement once when you come in (and again if a new version is released). Students sign the academy's agreement only when the academy enables that feature.
Families
In the portal or in the app, open Students and tap "Families" (next to "New student"). That's where you create the family, set a guardian and adjust the sibling discount. Family management moved out of Finance → Billing and now lives on the Students screen.
The discount is set per family, in the "Discount (%)" field on the Families screen — it's no longer a single academy-wide percentage. Leave the field blank and the family uses the academy's default percentage. The discount applies to each member's tuition and only takes effect when the family has 2 or more active students.
Yes. Each family member has their own tuition and their own plan — you pick the plan when registering the dependant under Students → Families. A minor dependant can go without a login: the guardian manages and pays for them through the app.
You can. On the family (Students → Families), switch on "Consolidated billing": the academy then generates ONE family invoice per month — the sum of the members' tuition, sibling discount already applied, on a single due date. The guardian pays it all at once and, on confirmation, every member is settled. Without it, each member keeps their own tuition. The family must have a guardian set.
It's an account for someone who manages dependants (typically their own children) but doesn't train at the academy. The guardian has a login, follows the family and pays the dependants' tuition — but has no tuition of their own, no belt, and doesn't take part in classes. Their home screen is the family screen.
Under Invitations, tick "Invite as guardian (doesn't train)" and send it. They sign up as a guardian from the start, with no tuition and no belt. You can also convert an existing student: in Students → student record → Details › Access, use "Mark as guardian". A guardian invitation doesn't require a default tuition plan.
Not for themselves. They have no tuition of their own — they only pay for their dependants, individually or on the consolidated family invoice. They also don't sign up for classes, don't check in, and have no belt or promotions.
Yes, and it's reversible. In Students → student record → Details › Access, "Mark as guardian" cancels the tuition and removes the belt; "Back to student" re-subscribes them to the default plan and restores the belt from their promotion history.
From the app: on your home screen (Family) or under My Family, open the dependant and tap "Classes". Pick the class: if it's automatic, the dependant joins straight away; if it needs approval, it becomes a request for the academy to approve; a full class puts them on the waiting list. "By check-in" classes hold a spot per date and aren't signed up for here. On the same screen you can also remove the dependant from a class.
